Terms of Service

Last updated May 8, 2026

Welcome to Cultivate Your Bid. These Terms of Service ("Terms") govern your use of cultivateyourbid.com (the "Site") and the sorority recruitment coaching services we provide ("Services"). By using the Site or engaging us for coaching, you agree to these Terms. If you do not agree, please do not use the Site or our Services.

Who we are

Cultivate Your Bid is a sorority recruitment coaching practice operated by [TBD: legal entity name and registered address]. References to "we," "our," and "us" in these Terms refer to Cultivate Your Bid.

Eligibility

You must be at least 18 years old to enter a coaching engagement with Cultivate Your Bid on your own behalf. Most of our families enter engagements on behalf of a daughter who is a high school senior or rising college freshman. If you are entering an engagement on behalf of a minor, you confirm that you are her parent or legal guardian and that you have the authority to engage us for services on her behalf.

Our services

Cultivate Your Bid provides one-on-one sorority recruitment coaching, school-specific guides, recommendation letter strategy, social media review, conversation preparation, wardrobe consultation, and related services. The specifics of any engagement are described in the package details we share at the time of booking and on our Services page.

Coaching outcomes vary by family, school, and a wide range of circumstances outside our control. We do not guarantee a specific bid, a specific chapter, or any specific recruitment outcome. What we promise is the preparation, the strategy, and the on-call support described in your package, delivered honestly and on schedule.

Booking and payments

Discovery calls are free. Coaching engagements require payment based on the package selected. Payment terms, acceptable payment methods, and any deposit requirements are confirmed in writing at the time of booking.

[TBD: cancellation and refund policy. Confirm whether deposits are non-refundable, what the refund window is for full payments, and whether cancellations within X days of recruitment week incur additional fees.]

Coaching engagement scope

The scope of any engagement is defined by the package selected. Adjustments to scope (adding services, upgrading tiers) are arranged with your coach and confirmed in writing before any new work begins. Reductions in scope mid-engagement are accommodated when reasonable but typically do not result in refunds for work already delivered.

Cultivate Your Bid is not affiliated with any sorority, university Panhellenic council, or recommendation letter program. Our services are educational and advisory in nature.

Confidentiality

Information you share with your coach during an engagement is held in confidence within the Cultivate Your Bid coaching team. We do not share details of any specific PNM's preparation, conversations, or chapter rankings outside the team unless you provide explicit permission to do so or unless required by law.

Aggregated, de-identified information about how families use our services may be used internally to improve our coaching and externally in marketing in ways that cannot be traced back to any individual.

Intellectual property

All content on the Site, including text, graphics, logos, and the structure of our coaching frameworks, is owned by Cultivate Your Bid or licensed to us. You may view and share content on the Site for personal, non-commercial use. Reproducing, republishing, or selling any of our content without written permission is not permitted.

Materials we create specifically for you during an engagement (your customized PNM bio, your recommendation letter timeline, your wardrobe plan) are yours to use as you wish. The underlying coaching frameworks, templates, and proprietary tools we use to create those deliverables remain our intellectual property.

User conduct

You agree to use the Site and our Services in good faith. You agree not to share login credentials with non-family members, not to record or distribute coaching sessions without our consent, and not to use our materials to operate a competing coaching service.

Disclaimers

The Site and the Services are provided on an "as is" and "as available" basis. We make no warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not guarantee that the Site will be uninterrupted or error-free.

Information on the Site, including school-specific guides, blog posts, and FAQ content, is offered for general educational purposes. Recruitment dates, chapter rosters, and Panhellenic policies change over time. Always confirm school-specific facts with the official Panhellenic source for that university before relying on them for important decisions.

Limitation of liability

[REVIEW] To the fullest extent permitted by law, Cultivate Your Bid will not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of the Site or the Services. Our total liability for any direct damages will not exceed the amount you paid us for the engagement giving rise to the claim. [TBD: confirm dollar caps and any state-specific caveats.]

Indemnification

You agree to indemnify and hold Cultivate Your Bid harmless from any claims, damages, or expenses (including reasonable attorneys' fees) arising from your use of the Site or the Services, your violation of these Terms, or your violation of the rights of a third party.

Governing law

[TBD: governing law and venue. Most coaching practices specify the state where the business is registered.]

Changes to these Terms

We may update these Terms from time to time. The "Last updated" date at the top of this page shows when the Terms were most recently revised. Continued use of the Site or the Services after changes are posted constitutes acceptance of the updated Terms.
